Getting started

MindWiki is a knowledge vault that you own — every page is a plain markdown file. The same vault is available on the macOS app, MindWiki Cloud at mindwiki.io, and the iOS app. Any AI agent that speaks the Model Context Protocol (MCP) can read and write into the same vault through a single MCP URL.

1. Create an account

Sign up at mindwiki.io/signup with email and a password. No credit card is required to start — every account begins on the Free plan and keeps the vault forever. You can also start from the iOS or macOS app and the account is the same.

2. Install the apps you want

  • macOS — download from mindwiki.io/download. Native Apple Silicon, signed and notarized by Apple. macOS 13 or later.
  • iOS — currently in TestFlight beta. Email support@mindwiki.io with the Apple ID you want invited.
  • Web — works in any modern browser at mindwiki.io/login. No install required.

3. Connect your AI agent (optional)

MindWiki AI — in-app chat with your vault — is a Pro feature. To bring your own agent (Claude, ChatGPT, Codex, Cursor, Claude Code), follow the MCP setup guide — one URL, one OAuth approval, and the agent has read + write access to the same vault.

Capture content

MindWiki is built around getting thoughts in fast and filing them later. There are five capture surfaces.

From the iOS app

  • Quick page — tap the + (Create) FAB on the home screen, choose "New page", type. Saves to capture/ by default.
  • Voice capture — Create FAB → Voice → tap the microphone. Speak naturally; MindWiki transcribes in real time and writes the result to a new page with the audio attached.
  • Photo / video / file — Create FAB → Capture Media. Pick a photo, video, or document; it lands in your Library and attaches to a new page.
  • Share Extension — from any other iOS app (Safari, Notes, Mail), tap Share → MindWiki. The selected text, URL, or file goes into capture/ immediately and syncs on next foreground.

From the macOS app

  • Cmd + N creates a new page in whatever folder is currently selected.
  • Drag and drop any file, image, PDF, or audio clip into a page or onto a folder in the sidebar.
  • Capture email — every account has a unique capture-<id>@inbox.mindwiki.io address. Forward or send mail to it and the body lands as a new page under capture/. Find your address in Settings → Capture → Capture email.

From MindWiki Cloud

The web editor at mindwiki.io/app supports the same Cmd+N, drag-and-drop, and paste flows as the macOS app. Paste a URL and MindWiki automatically previews and titles it.

From any AI agent (via MCP)

Once your agent is connected, it can call the mindwiki_capture tool to drop content directly into capture/ with the same metadata. See MCP tools for the full surface.

Sync across devices

Every page is the same canonical Markdown file on every device. When you edit on iOS, the change reaches the macOS app and the web within a few seconds.

How it works

  • The macOS app and iOS app keep a local SQLite cache of your vault. They write to disk first, then push the change to the server in the background.
  • MindWiki Cloud reads from and writes to the same server-backed vault directly.
  • When two devices edit the same page while one is offline, the change that lands second wins, and the other version is kept as a sibling page named <page>.conflict-<timestamp>.md so you never lose work. See conflict resolution.

Force a re-sync

  • iOS — pull down on the home screen to trigger a delta sync. Or Settings → Sync diagnostics → Run delta sync.
  • macOS — Cmd + R, or File → Sync Now.
  • MindWiki Cloud (Web) — refresh the page. MindWiki Cloud reads live, no local cache to invalidate.

What's in the cloud vs. on your device

Markdown bodies, page titles, frontmatter, wikilinks, and folder structure live in the cloud (Cloudflare D1 + R2 storage). Local SQLite caches on iOS and macOS keep a copy for offline read + fast search. Image, video, audio, and document attachments are uploaded to R2 and referenced by URL.

MindWiki AI

MindWiki AI is the assistant that knows your vault. You can use it as a chat (text), as a voice conversation, or by connecting your own agent (Claude, ChatGPT, Codex, Cursor, Claude Code) over MCP.

Chat with your vault

  1. In any app, tap the sparkle / chat icon to open Ask MindWiki AI.
  2. Type your question. The AI reads the relevant pages from your vault and answers in plain English, with citations linking back to the source pages.
  3. Follow-up turns share context — you don't need to re-introduce the topic.

MindWiki AI requires Pro or Power. Pro: 200 turns/month. Power: unlimited.

Voice conversations (iOS)

Live Conversation lets you talk to your vault. From the iOS Create FAB → Voice → Live Conversation. The microphone is only opened on that screen; everywhere else in the app the mic is off.

  • Pro: 60 minutes of live voice per month.
  • Power: unlimited live voice.

Connect your agent (MCP)

MindWiki exposes one MCP URL — https://api.mindwiki.io/mcp — that any compliant agent can connect to. Setup guides for specific agents:

What does AI cost?

Your own agent's billing (Claude, ChatGPT, etc.) is handled by that provider. Connecting via MCP is free for the vault side. The only AI usage we meter is MindWiki's own chat and live-voice features, which count against your plan's monthly limits. See Pricing for current limits.

Pages, folders, and files

Pages

  • Pages are plain markdown with YAML frontmatter at the top. Title, tags, area, type, and dates live in frontmatter.
  • Wikilinks use [[page-name]]. They auto-complete as you type and render as clickable links.
  • Attachments are dropped or pasted directly into a page and rendered inline (images, audio, video, PDF previews).

Folders

Folders are real folders on disk in the macOS app. Create one in the sidebar with the + button; drag pages to move them. Renaming a folder updates every wikilink that pointed inside it.

Files and attachments

  • Photo / video / document capture — covered above under Capture.
  • Library — iOS Settings or the Library tab shows every file in your vault by kind. Tap a file to open the viewer (audio player, PDF preview, image gallery).
  • Upload quality — Settings → Capture → Attachment upload quality. "Auto" picks "Original" on Wi-Fi and "Small" on cellular. "Original" preserves every byte; "Small" downscales images and re-encodes video for faster sync.

Account

Sign in

  • Email + password from any platform. Sign in with Apple is supported on iOS.
  • Sessions stay valid for ~90 days unless you sign out or revoke the device.

Change password

On iOS: Settings → Password. On the web: Account → Security → Change password. You'll need your current password to confirm.

Change email

Email is your account identifier; to change it, contact support@mindwiki.io from your current email and we'll verify and move the account.

Sign out everywhere

iOS: Settings → Devices → Sign out all devices. Web: Account → Devices → Sign out all. This invalidates every session except the one performing the action.

Delete account

iOS: Settings → bottom of the screen → Delete account. Web: Account → Danger Zone → Delete account. Deletion is permanent and removes the vault from servers within 30 days. Export first if you want a copy.

Subscription and billing

Plans

  • Free — $0 forever. Unlimited pages and storage, search, capture, and export. MindWiki AI and voice require Pro or Power.
  • Pro — $12.99/month or $129/year. 200 AI turns, 60 minutes of live voice, 120 minutes of voice capture, MCP read + write scopes, Auto-Linker, and more.
  • Power — $29.99/month or $299/year. Everything in Pro plus unlimited AI usage and the Vault Master mode.

How to subscribe

  • Web — Pricing → Get Pro routes through Stripe Checkout. Card payment, no contract.
  • iOS — Settings → Subscription → pick a plan. Billed through your Apple ID via the App Store.

Cancel or change plan

  • Bought on the web — Account → Billing → Manage subscription. Cancellation takes effect at the end of the current billing period.
  • Bought on iOS — iOS Settings → Apple ID → Subscriptions → MindWiki → Cancel. Apple handles refunds and downgrades; we can't manage Apple-issued subscriptions from our side.

Refunds

Web purchases: email support@mindwiki.io within 14 days of purchase. App Store purchases: reportaproblem.apple.com — Apple decides refunds for App Store transactions.

Receipts and invoices

Stripe sends a receipt email at every charge. Itemized invoices live at Account → Billing → Invoice history. App Store receipts come from Apple at the email associated with your Apple ID.

Tax

VAT, GST, and US state sales tax are calculated at checkout based on the billing address. The line is shown before you confirm the charge.

Privacy and exports

You own the vault

On macOS, the vault is a folder of plain markdown files on your disk. You pick where it lives. You can open the folder in Finder, copy it, back it up independently, or move it to another drive without MindWiki being involved. See Security for the full posture.

Export everything

iOS: Settings → Backup & Restore → Export vault. Produces a .zip of every markdown file, frontmatter, and attachment. Web: Account → Data → Export vault. The export link is delivered by email when it's ready, usually within a minute for typical vaults.

Troubleshooting

"Sync stuck" / pages not showing on another device

  1. Pull-to-refresh on iOS, Cmd + R on macOS, refresh the page on web.
  2. Check mindwiki.io/status — green dots mean the back end is fine; a yellow or red API row means the issue is on our side and we're working on it.
  3. Sign out of the device having trouble and sign back in. The local cache rebuilds from the server.
  4. If nothing above helps, email support@mindwiki.io with which device and what you tried.

Can't sign in

  1. Make sure you're using the right email (the one you signed up with). Sign in with Apple uses your hidden email if you chose "Hide my email" at signup — check Apple's iCloud → Hide My Email aliases.
  2. Use "Forgot password" on the login page to send a reset link.
  3. On iOS, force-quit the app and reopen. Any cached session token is refreshed on next launch.

The orange microphone dot is on but I'm not recording

The dot lights only when the Voice Capture or Live Conversation screen is open in MindWiki. If you see it elsewhere in the app, please email us — that's a bug.

"AI didn't answer" / Live Conversation timeout

  1. Check mindwiki.io/status — the "MindWiki AI" and "Voice infrastructure" rows. If either is degraded, retry in a few minutes.
  2. Make sure your plan still has voice or chat allowance for the period (Settings → Subscription).
  3. Live Conversation drops if you background the iOS app — that's expected. Re-enter the screen to start a new session.

The macOS app shows "Out of date"

Choose MindWiki → Check for Updates. If the prompt keeps appearing, redownload from mindwiki.io/download and replace your installed copy. Your vault is untouched.

I deleted a page by accident

Deletions are tombstoned on the server for 30 days. Email support@mindwiki.io with the page name or path and we can restore it.
